Refund and Cancellation Policy

1. Introduction

This Refund and Cancellation Policy ("Policy") outlines the terms and conditions governing cancellations and refunds for bookings made through the LibraryBook mobile application ("App"). By making a booking through our App, you agree to this Policy.

2. Cancellation Window and Eligibility

2.1 (48-Hour) Cancellation Window

  • Full Refund Eligibility: You can cancel your booking for a full refund (minus secure booking fee) if you cancel within 48 hours from the time of booking.

  • Cancellation Availability: The cancellation option is available in the App as long as:

    • The 48-hour window has not expired

    • The booking status allows cancellation

    • The "Cancel" button is visible in your booking details

  • After 48 Hours:

    • Cancellation is not allowed after the 48-hour window has expired

    • No refund will be provided for cancellations made after 48 hours

    • The cancellation option is removed from the App once the window expires

  • Last-Minute Cancellation: You can cancel your booking as long as the "Cancel" button is displayed in the App, until the cancellation window expires.

2.2 All Bookings

  • Refundable Bookings: All bookings are refundable if cancelled within the 48-hour window, subject to this Policy.

  • Uniform Policy: All booking types (individual, group, recurring) follow the same cancellation and refund policy.

3. Cancellation Process

  • App Only: Cancellations must be made through the LibraryBook App.

  • Support Contact: If issues occur, contact support:

  1. Open the LibraryBook App

  2. Go to "My Bookings"

  3. Select the booking

  4. Click "Cancel" (within 48 hours)

  5. Confirm cancellation

  6. Wait for admin approval

3.3 Admin Approval

  • Approval Required: All cancellations require admin approval

  • Approval Time: Typically 24–48 hours

  • Automatic Processing: Refund initiated automatically after approval

  • No Manual Request: No separate refund request required

3.4 Cancellation Confirmation

  • Immediate in-App confirmation

  • Booking status updated to "Cancelled"

  • In-App notification sent

  • Refund notification sent once processed

4. Refund Amount and Charges

4.1 Non-Refundable Components

The following charges are non-refundable, even within 48 hours:

  • Secure booking fee (including GST)

  • GST on secure booking fee

4.2 Refundable Amount

When cancelled within 48 hours, you receive:

  • Full booking amount minus secure booking fee (including GST)

  • Payment gateway charges paid by LibraryBook

4.3 Cancellation Charges

  • No cancellation fees

  • Secure booking fee is deducted as non-refundable

5. Refund Processing

5.1 Processing Time

  • Admin approval: 24–48 hours

  • Refund processing: 5–7 working days

  • Total time: 6–9 working days

  • Bank processing time may vary

5.2 Refund Method

  • Credited to original payment method

  • Alternative bank transfer if original method unavailable

5.3 Refund Confirmation

  • In-App notification on refund processing

  • Booking marked as "Cancelled"

  • Refund reflected in bank statement

5.4 Payment Gateway Processing

  • Gateway charges paid by LibraryBook

  • Typical timelines:

    • UPI: 1–3 working days

    • Cards: 5–7 working days

    • Wallets: 3–5 working days

    • Net Banking: 5–7 working days

6. Refund Scenarios

6.1 User-Initiated Cancellation (Within 48 Hours)

  • Refund: Full amount minus secure booking fee

  • Processing: Automatic after admin approval

  • No additional action required

6.2 User-Initiated Cancellation (After 48 Hours)

  • No refund

  • Cancellation not allowed

6.3 No-Show Policy

  • 48 hours available to use or cancel booking

  • After 48 hours, seat becomes non-cancellable for 30 days

  • No refund for no-shows

  • Seat remains locked for 30 days

  • No additional charges beyond booking amount

6.4 Library-Initiated Cancellation

  • Libraries cannot cancel bookings except for maintenance

  • Maintenance cancellations are investigated

  • Action may be taken against library owner

  • Refund attempts made; not guaranteed

6.5 Technical Errors

  • Full refund including all charges

  • Verified by support team

  • Processed within 5–7 working days

7. Modifications vs Cancellations

7.1 No Modifications Allowed

  • Bookings cannot be modified

  • Only cancellation and rebooking allowed

7.2 Rebooking Process

  1. Cancel existing booking (within 48 hours)

  2. Make a new booking

  3. Pay separately

  4. Refund processed independently

8. Special Cases

8.1 Booking Types

Uniform policy for all booking types.

Same 48-hour cancellation rule applies.

8.3 Recurring Bookings

  • No exceptions for emergencies or unforeseen events
